Agreeing to abide by the following rules and regulations is mandatory for participation in the “Street Fighter V: Arcade Edition Ultimate Cosplay Showdown.” Many of these rules are in place to protect the safety and comfort of the participants and organizers; others are in place to ensure a fair playing field for all participants. Failure to comply with the regulations outlined below may result in disqualification from the event, loss of prizes and awards, and/or removal from the event location depending on the severity of the offense.
GENERAL INFORMATION & REQUIREMENTS
All applicants must have either proof of permanent residence in the United States or proof of citizenship available for review by Capcom Arena Managers.
Each participant must have valid an Anime Expo badge.
All applicants must be 18 years old or older, to be verified by a government-issued ID by SPJA at Anime Expo.
All characters/costumes/color variants must be from the game, Street Fighter V: Arcade Edition

Eligible costumes include ALL variants and colors currently available within Street Fighter V : Arcade Edition!
Yes, this includes alternate costumes based on characters from other Capcom games! (Cammy as Jill Valentine, for example.)

If you are one of the finalists, you will need to submit the following information for prize fulfillment.
Finalists who do not submit this information to Sunweaver Creative within 7 days of the contest forfeit their prize:

Prize monies will be remitted within 45 days of the contest by check to your legal name. Sunweaver Creative will be administering prize monies to the winners.
CHECK IN / ENTRY REGULATIONS
Each ENTRY must be either a Solo Match ( 1 Cosplayer ) or a Cosplay Team ( 2 Cosplayers ).
A maximum of two cosplayers are allowed in each ENTRY.
Each ENTRY may only appear on stage one time. Each cosplayer may only participate in one ENTRY.
All cosplayers must check-in at the Arena in person on July 4th. Upon check-in, contestants will receive additional updates, or, updated submissions of late paperwork and media files. You may only check-in on the morning of the event as indicated by Cosplay Showdown Staff. Spots are reserved on a first-come, first-served basis. We reserve the right to terminate entrees that check-in late.
On stage rehearsals are not guaranteed. Please be prepared to adapt and perform without previous rehearsal time. If rehearsal time is granted please be on time or else you will forfeit your rehearsal time.
All Cosplay Showdown contestants must follow the guidance and instruction of all Cosplay Showdown Staff.
COSTUME REGULATIONS / SUPPORT CREW (“Fight Crew”)
Costumes should be self-contained and self-sufficient. Connections to electrical sockets will not be available. Please secure your own escort if you have a bulky costumes that might require an aid to move or see. We will do our best to make sure every contestant appears on stage. If the costume is bulky, please be aware that we may not be able to get the contestant on the stage, but we may still let them perform. Please be prepared to walk up 4-6 stairs in the event that a lift or ramp is not available.
All props must conform to Anime Expo®’s Weapons Policy & Code of Conduct. Limited exceptions can be provided in extreme cases such as large mechas ( Rashid’s Airman Costume ), or excessively large props.
You may bring 2 additional people on site as part of your ‘Fight Crew’ which could be costume creators, aids, escorts, and stage ninjas. For special circumstances, please contact the Showdown Arena Managers. ( SF5@sunweavercreative.com )
Cooperative costume creation is strongly encouraged, make sure to keep a list of your ‘Fight Crew’ and give proper credit if you win! Additional points will be awarded for unique costume choices and creative execution in the spirit of Street Fighter V : Arcade Edition.
SAFETY & DECORUM
PERFORMER & STAGE SAFETY
Purposeful damaging of stage equipment is prohibited. Violation of this rule will result in immediate disqualification.
The use of flash powder, fireworks, lasers, electrical flashes or smoke machines are STRICTLY prohibited.
All presentations must be within the delineated area of the stage to protect the stage equipment.
Any debris left on stage must be quickly cleaned by stage hands in less than 10 seconds.
No jumping off the stage. Anyone not using the appropriate stage exit or returning to the stage after their presentation is over will be disqualified.
DECORUM & SOCIAL POLICIES
All Cosplay Showdown contestants must comply with the Anime Expo Code of Conduct, LA City ordinances, and comply with a PG rating. Any presentations with stunts, extreme or shocking performances must be approved by the department manager and assistant manager before the event. Failure to do so may result in disqualification and /or expulsion.
Be kind and culturally respectful when cosplaying your favorite characters and applying your makeup. Remember; the costume is the focus of your cosplay, not your ethnicity or body type.
We are dedicated to providing a harassment-free experience for everyone, regardless of gender, gender identity and expression, fandom, sexual orientation, disability, physical appearance, political background, body size, race, or religion. We do not tolerate harassment in any form. This includes but not limited to : Physical assault, verbal harassment, sexual harassment, stalking, unwanted physical contact, unwanted advances, or inappropriate photography.
If you witness or experience any activity that puts someone's safety or enjoyment of the show at risk, inform a security guard or Capcom Arena Crew member and let them know. We have escalation procedures in place to handle these kinds of situations, and we can take the appropriate action from there.
In order to ensure the event provides a safe, enjoyable, and welcoming environment for everyone, Capcom reserves the right to remove from the Street Fighter V : Arcade Edition Cosplay Showdown any person whose conduct is deemed to be disorderly or unbecoming, or who uses vulgar or abusive language.
YOUR RESPONSIBILITIES AT
THE ULTIMATE COSPLAY SHOWDOWN
Contact : one point of contact for each ENTRY will be responsible for answering questions, getting cosplayer information and paperwork submitted to the Showdown Arena Managers ( SF5@sunweavercreative.com ).
Check in: On the morning of July 4th, 2019, at least one representative from each ENTRY selected for the Ultimate Showdown Roster (USR) must attend a mandatory at show meeting the morning. Roll-call will be conducted at the beginning and end of the meeting. If there is not a representative from the group present, the group will not be eligible to compete. If there is a reason you cannot attend or will be late to the meeting, please contact the Showdown Arena Managers ( SF5@sunweavercreative.com ) as soon as possible.
Progress Photos: At least 2 photos per costume from any angle, of any size, and at any stage of construction must be submitted by June 27th, 2019. This is simply to show that the costume exists or that work on it has begun.
Communication : Maintain communication with Showdown Arena Managers ( SF5@sunweavercreative.com ) via email. Contestants are expected to respond to emails in a timely manner ( within 72 hours ). Any further instructions or confirmations will be conducted via email. Lack of communication could result in disqualification. If you are planning to go on vacation or be unavailable for a certain period of time, please be sure to send a notice to the Showdown Arena Managers. ( SF5@sunweavercreative.com )
Wardrobe Check : You are responsible to check your costume for potential wardrobe malfunctions. We encourage the use of all the classic wardrobe tricks to keep you looking great and modest. Dance belts, tights, clear straps, toupee tape, super stick, body stockings and nipple shields are your friends, please use them if needed to keep your costume in check while on stage.
